What must you do to order a UBO extract with eHerkenning?

eHerkenning allows your business to conduct secure online transactions with the government. You need it to order certain products from KVK. On this page, we explain step by step how it works.

Step 1: apply for eHerkenning

Do you not yet have eHerkenning? Apply for it first. You can find all the information you need on eherkenning.nl. There are several suppliers. You choose where to apply for eHerkenning yourself. 

Choose the right assurance level

All services on kvk.nl have an assurance level. This level indicates how much sensitive information you are permitted to view. There are 3 levels: basic, substantial, and high. The higher the level, the more sensitive the information is. This level is determined by various factors, such as how privacy-sensitive or important the information is that you can view via the service.

For each assurance level, you need a suitable eHerkenning login method: level 2+, 3, or 4.

The assurance level required for requesting UBO data is high. So you need eHerkenning level 4 (EH4) for this purpose. 

Start the application for EH4 in time

More and more government departments are requiring eHerkenning Level 4 (EH4). Make sure you start the application process in good time, as it can take several weeks.  

EH4 requires a PKIoverheid certificate. This is because it provides an additional built-in security measure. Find more information about applying for a PKIoverheid certificate (in Dutch).

Arranging authorisation 

Would you like to order a UBO extract as a user? If so, you will need eHerkenning with the appropriate authorisation. This authorisation can be requested by the person who is authorised to sign on behalf of the organisation or the authorisation manager within your organisation. 

Are you the person authorised to sign or authorisation manager yourself? If so, you should apply for eHerkenning Level 4 for yourself or for your staff, so that they can log in on behalf of your organisation. 

To order a UBO extract, you need an authorisation for these 2 services:

Using this service, you share your first name, last name, and email address with us. You need to do so once in order to apply for data authorisation.  See step 2 on this page for more information.

Using this service, provided you have the appropriate data access permissions, you can retrieve non-public and/or restricted data from the KVK registers. See step 3 on this page for more information.

Step 2: apply for data authorisations from KVK 

In addition to authorisation for the relevant service and the associated eHerkenning token, you will need one or more data authorisations from KVK for certain services. For example, requesting information from the UBO register. These authorisations are required to access sensitive personal data.

Organisations are invited to join the scheme in stages via their sector organisation. As soon as it is your sector’s turn, you will receive a message from KVK via your sector organisation. If you indicate that you are interested, we will contact you about the next steps required for the authorisation process. KVK is starting with civil-law notaries and banks. Step 3: order UBO extracts

Have you completed steps 1 and 2? And do you have authorisation for the service "Opvragen informatie uit registers, niveau hoog (EH4)  - Requesting register data, level high"? You can now order UBO extracts on kvk.nl. As soon as you have fully completed step 2, we will share the link to the place where you can order UBO extracts.
