Receive KVK digital mail in the Message Box

Do you want to receive less mail on paper from KVK? Apply for a Message Box for Businesses and register it with KVK. You will receive part of your mail digitally.

The Message Box for Businesses is a secure email system that allows entrepreneurs and public organisations to communicate digitally. Municipalities, provinces, and all types of government organisations use the box. 

KVK will send you letters about setting up or changing the details of a company or organisation digitally if you use the Message Box for Businesses. Other government bodies inform you about permits or registrations via the Message Box. This saves paper, so it benefits the environment.

Register a Message Box

You apply for a Message Box for Businesses at the Netherlands Enterprise Agency RVO. You have to verify your identity when you apply. You use eHerkenning for this. 

If you also want to receive KVK mail in the Message Box, register it in your KVK Business Register entry. You can do so using My KVK or by filling in and sending form 14. 

Send the form to a KVK postal address. Send a copy of a valid proof of identity of the person who has signed the form.

Cancel a Message Box

To cancel your Message Box, notify KVK and RVO. Use KVK form 18 to indicate the Message Box name is ending and as of which date.

Good to know about the Message Box

Your Message Box name is not public. The name does not appear on your KVK Business Register Extract.

An existing Message Box name can not be assigned to a different KVK number. 

Do you end your business? Then also cancel the Message Box. Do you start a new business? Apply for a new Message Box for the new KVK number. 

You cannot register a Message Box name to more than one KVK number. Each KVK number gets its own Message Box.
